Who we are
WarmClose (warmclose.ai) books qualified sales meetings for business-to-business companies. Questions about this policy go to jay@warmclose.ai.
What we collect
Visitors to this website. This site sets no analytics or advertising cookies of its own. If you book a call, the booking form is provided by Calendly and collects what you enter (such as your name, email, company and answers) so the meeting can be scheduled. Our hosting provider keeps standard server logs (IP address, browser type, pages requested) for security and reliability.
Business professionals we contact. We collect professional contact details: name, job title, company, work email address, and sometimes a work phone number or professional profile. These come from public sources such as company websites and professional profiles, and from licensed business-data providers. We use work email addresses only, never personal ones.
Clients and people we talk with. Information you give us by email, on calls and in agreements. Payments are handled by our payment processor; we do not store card numbers. Calls may be recorded and transcribed so we keep accurate notes.
Our clients' prospects. When we run a program for a client, we handle business contact details on that client's behalf, only for that client's program, and we keep each client's data separate.
How we use it
To contact businesses about services relevant to their role, to schedule and prepare for meetings, to deliver and bill for our services, to keep our suppression list, and to keep our systems secure. Automated tools help us research companies and sort replies.
Who we share it with
We do not sell personal information. We share it only with service providers that help us run the business (email and hosting, data storage and CRM, scheduling, payments, call recording, data verification, and AI processing), each for our purposes only; with a client, when you have agreed to meet with them; or when the law requires it.
Your choices
Reply to any email from us asking us to stop, or write to jay@warmclose.ai, and we will stop contacting you. Your address goes on our suppression list, which we check before every campaign.
You can ask what we hold about you, or ask us to correct or delete it, by writing to jay@warmclose.ai. If you ask us to delete your details, we keep only the minimum needed to make sure you are not contacted again.
How long we keep it
Only as long as we need it for the purposes above. Suppression records are kept so that an opt-out lasts.
Security
Access to personal information is limited to the people and services that need it, and it is stored with providers that encrypt data in transit and at rest.
Children
Our services are for businesses and are not directed at children.
Changes
If we change this policy we will post the new version here with a new date.
